Youth Player Profile Terms, Privacy & Safety Notice

    Parent/Guardian Consent — Version 2026-09-29-v3

This notice explains how the Youth Player Profile system on Here in SWFL is designed, what information may be displayed publicly, and the responsibilities of parents and guardians. By creating a Youth Player Profile, a parent or guardian confirms they have read and agree to these terms.

    1. Parent/Guardian Ownership and Responsibility

Every Youth Player Profile is created and managed by a verified parent or legal guardian account. The guardian is responsible for the accuracy of the information they publish, for any photos or video links they add, and for deciding whether a player profile should exist at all. Only the authenticated guardian can create, edit, publish, unpublish, manage media, or request removal of a player profile. A player profile is not its own login account.

    2. What Player Information May Be Public

When a guardian chooses to publish a profile and make it public, the following controlled information may be displayed publicly: a public display name (typically first name and last initial); sport, age group, and graduation year; positions; general area (such as a county or region), never a street address; current team or organization, when provided; a short bio and basic stats written by the guardian; a profile photo; additional gallery photos (when available); highlight video links and embeds from supported providers; titles or captions the guardian adds to media; a "looking for a team" or availability status; and the guardian's preferred contact method. Private guardian contact information, including phone number and email, is never added to this public list and remains governed by the separate guardian direct-contact opt-in.

    3. Player Photos and Videos

Guardians may add a profile photo for a player profile. Depending on the player profile plan, guardians may also add additional gallery photos and highlight video links. A profile photo is an image the guardian uploads. Additional photos are images the guardian uploads to a photo gallery. Highlight videos are links to videos hosted on supported third-party services such as YouTube or Vimeo; Here in SWFL displays or embeds those links on the player profile. Guardians may add optional titles or captions to their media. Guardians may replace, remove, or reorder their media at any time. Media changes do not require separate admin approval, though admins retain the ability to unpublish, suspend, or archive a profile if content is inappropriate.

    4. Guardian Authorization for Player Media

By uploading or linking any photo or video to a player profile, the parent or guardian confirms that they are authorized to manage the player profile, that they have the right and permission to share the submitted media publicly, and that they understand qualifying media may be publicly displayed on the player profile when it is published and public. Guardians are responsible for reviewing their media before making a player profile public and should only upload media they have permission to share. Here in SWFL does not independently verify ownership, copyright, or permission for media submitted by guardians.

    5. Media Safety

Guardians should not submit media that contains sensitive personal information, including a home or street address, school name or school schedule, private contact information, documents or identification numbers, or any other information they do not want publicly visible. Guardians should review photos and videos carefully before adding them, including any background details that may unintentionally reveal private information.

    6. Third-Party Video Links

Highlight videos may be hosted by third-party services such as YouTube or Vimeo. Here in SWFL may display or embed those video links on the player profile. Here in SWFL does not control the availability, content, privacy policies, or data practices of those third-party platforms. Guardians are responsible for the privacy settings and content of any video they link, and for ensuring they have permission to share or embed it.

    7. What Here in SWFL Does Not Intentionally Display Publicly

The following are never intentionally shown on a public player profile: a child's phone number or email address; a home or street address; school or school schedule information; private guardian contact details; direct child messaging — there is no child account and no direct messaging path to a child.

    8. Parent/Guardian-Controlled Contact

Any contact between teams, coaches, and families is designed to be guardian-mediated. A guardian's private contact information is used only to route inquiries to them and is not displayed publicly unless the guardian separately opts in to direct phone contact. The guardian decides whether to respond, share additional information, or take any next step.

    9. Parent Responsibility for Verification

Here in SWFL is a discovery platform. It helps families find teams, programs, and opportunities, and helps teams find players. It does not guarantee or independently verify every coach, team, player, organization, statement, opportunity, or user-submitted claim, including media. Parents and guardians are responsible for deciding whether to contact, meet with, try out for, join, or share additional information with another party. Guardians should independently verify coaches, teams, organizations, tryouts, and opportunities before participating.

    10. No Misuse of Minor Information

Users must not misuse, scrape, harvest, or exploit information or media about minors on this platform. Inappropriate conduct may be reported, and accounts or content may be suspended or removed.

    11. Guardian Authorization and Control

By publishing a player profile and adding media, the guardian is authorizing the publication of the information and media they have intentionally chosen to make public. A guardian may make a player profile private, remove media, or request its removal later. Turning a profile private hides its media from public display but does not delete stored media. Privacy and safety controls may evolve over time as the system develops. Guardians will be asked to re-accept updated terms when the version changes.

    12. No Background Checks

Here in SWFL does not perform background checks on coaches, teams, organizations, guardians, or players as part of this discovery system. The absence of a background check should not be interpreted as an endorsement or a guarantee of safety. Guardians remain responsible for their own due diligence.

    13. Legal Review

These terms are provided for transparency and product design purposes. They should be reviewed by qualified legal counsel before public launch and may change as the platform and applicable requirements evolve.

    14. Coach References

A guardian may invite a coach or authorized youth-sports representative to submit a reference for a player. The coach submits the reference independently through a private invitation link and must explicitly consent before the reference may be displayed publicly. The guardian must separately approve the submitted reference, and Here in SWFL may moderate, reject, or hide reference content. A reference appears publicly only when all required coach consent, guardian approval, platform moderation, player publication, and Premium eligibility conditions are satisfied. A coach may withdraw a reference, after which it will no longer appear publicly. The coach's email address, invitation token, private consent records, guardian information, and administrative notes are not publicly displayed. Coach References reflect the individual coach's opinion. Here in SWFL does not independently verify or endorse the coach's statement, credentials, identity, employment, team affiliation, or claims. Guardians are responsible for inviting an appropriate person and for their own decision to approve a reference. Children must not create accounts, send invitations, or manage Coach References. Here in SWFL may remove or restrict content for safety, privacy, legal, or policy reasons.
